Selected properties from your CRM Company records (and optionally Deal records) sync into corresponding Customer custom fields in ClearFeed. You can then use this data in automations, routing rules, SLAs, and reports.

How CRM Sync Works

CRM Sync supports two configuration models based on how your team structures customer and revenue data in HubSpot.

Model 1: Company-Only

  • All mapped ClearFeed customer fields sync from Company properties

  • Deal objects are not used

Sync Behavior

At a high level, CRM Sync:

  1. Matches HubSpot companies to ClearFeed customers (using domain matching based on the primary domain of each HubSpot company; additional domains are not considered)

  2. Reads the configured fields from HubSpot

  3. Updates the corresponding ClearFeed customer fields

Deal handling:

  • If deal fields are configured and exactly one relevant deal exists, deal fields are synced.

  • If multiple deals exist, deal fields are skipped, and only Company fields are synced.

Additional behavior:

  • Initial setup includes a one-time backfill of existing customers

  • Sync runs automatically in the background on a regular schedule

  • Sync is one-way: HubSpot → ClearFeed

  • Source of truth: Once a field is synced from HubSpot, HubSpot becomes the source of truth for that field. Manual edits in ClearFeed will be overwritten when the HubSpot company or deal object is updated during the next sync

Detailed Sync Rules

New Customer Created in ClearFeed

When a new customer is created in ClearFeed, the system will attempt to link it to a HubSpot company object during the next sync run based on domain matching.

Customer Domain Updated in ClearFeed

Domain added:

  • No action is taken

  • The existing linkage remains unchanged

Domain removed:

  • The linkage between the ClearFeed customer object and HubSpot company object is reset

  • The customer object will be picked up in the next CRM sync run to be re-linked to a company object based on remaining domains

HubSpot Company Domain Updated

When a HubSpot company object's domain is updated, no action is taken. The ClearFeed customer object remains unchanged and the existing linkage persists.

HubSpot Company or Deal Field Updated

When a synced field in a HubSpot company or deal is updated, the new value is pulled into ClearFeed during the next sync run, overwriting any manual changes made in ClearFeed since the last sync.

Prerequisites

Before requesting setup, ensure you have:

  • HubSpot admin access or authorization rights

  • A list of fields you want to sync

  • Your preferred configuration model (Company-only or Company + Deal)

  • ClearFeed custom fields created (if needed)

  • Clean, consistent data in HubSpot

Limitations

  • One-way sync only (HubSpot → ClearFeed)

  • Only Customer custom fields are updated

  • Deal fields sync only when exactly one relevant deal exists

  • ClearFeed does not automatically select between multiple deals

  • Some HubSpot field types are not supported
